What we offer

Six things DailyDotKids does for your centre

If you own or run a daycare, this is the product. Everything else on this page is detail.

1. Run the centre

Locations, classes, students, teachers, and invitations — including a shared classroom tablet if you keep one iPad in the room.

2. Capture the day

Teachers check children in and out, log meals, naps, photos, and notes in a few taps, and clock in for their shift.

3. Keep parents informed

Families see the day’s updates, photos, daily reports, and your bulletins on their phone.

4. Keep staff and child files

Store immunizations, consents, CRCs, first aid, and certificates per child or staff member. We remind you before dated credentials expire.

5. Track tuition — not collect it

Set monthly fees for the whole daycare, a class, or a child. Send invoices and record Interac. Parents still pay you directly. We are not a payment app.

6. Alert the right people

Push notifications for classroom updates, clock-in, and invoices. Email for invitations, PINs, and credential reminders. Invoices are not emailed.

Getting started

How a free pilot works

Register on this site. We email you, set your centre up, then you invite staff and families.

1. Register on this site

Use the signup form with your centre name, city, and province. It emails us. We reply to walk through whether it fits.

2. We set you up

We create your daycare in the Admin app and help you add locations, classes, teachers, and children.

3. You invite your people

Teachers and parents join with an invitation from you after we set up the centre. Optional: one shared tablet in the classroom.

How it is set up

Three apps: you, your teachers, your families

You run the centre from the Admin app. Teachers log the day from a phone or a shared classroom tablet. Parents follow along on theirs. After we set up your centre from the website form, everyone joins with an invitation.

Your Admin app

Run locations, people, and the day from one place

This is the owner and director app. Set up the centre, invite staff and families, review hours, and send announcements — without a pile of separate spreadsheets.

Teachers log the day in a few taps

Staff check children in and out, record meals, naps, photos, and notes from the class roster, then clock their own hours. Parents see those updates automatically — teachers do not need a separate message to each family.

Parents see the day without extra work from you

Families get the activity feed, photos, daily reports, and your bulletins on their phone. They also see invoices and can mark Interac sent — they still pay you outside the app.

  • Daily Reports: Review summarized end-of-day reports by category — meals, naps, activities, and more — with timestamps and photos.

  • Bulletins & Announcements: Read director and admin announcements in-app, with PDF and image attachments and read/unread tracking.

Tuition reporting

Set fees, track invoices, and get alerts — without becoming a payment app

DailyDotKids is not a payment platform. We help owners set monthly tuition, send invoices, record Interac payments, and keep parents informed. Families still pay the centre directly.

Fees at every level

Set a monthly amount for the whole daycare, then override by location, class, or child when a family needs a different rate.

Invoices & yearly receipts

Invoices are created for the next month and can also be sent one-off. Print PDF invoices and a yearly child-care expense receipt from recorded invoices — useful for records, not a tax form.

Interac tracking & alerts

Parents see Interac instructions, tap when they've sent payment, and you confirm in the Admin app. Push alerts cover new invoices, payment submitted, approved or rejected, reminders, and overdue balances for owners.

Families and staff hear about the day in the app. Email is reserved for invitations, credentials, and compliance reminders that should still arrive if the phone is off. Billing invoices are push-only — we do not email them.

Each person can turn individual push types on or off in Settings.

Email

In the inbox

  • Invites: teacher, parent, admin, and owner invitations (and resends)
  • Account: password reset, device PIN, vault PIN, and account-deletion codes
  • Teachers: class reassignment
  • Vault: credential expiring or expired, plus a weekly missing-ECE digest for owners

We do not email classroom activity feeds or tuition invoices. Those stay in the apps as push alerts.

Data safety

Built to protect children's and staff information

Daycare records include health details, emergency contacts, and credentials. Centre records are stored in Canada. We encrypt sensitive fields in the database, encrypt vault files at rest, and hash passwords and PINs so they are never stored in plaintext.

Your centre’s records — the database, classroom photos, and vault files — are hosted in Google Cloud in Montreal. Push and email alerts may travel through the networks that deliver them to phones and inboxes.

Encrypted in the database

Allergies, dates of birth, emergency contacts, activity notes, daily-report PDFs, phone numbers, and vault document details are encrypted at rest with AES-256 before they are stored.

Encrypted vault files

Immunization records, consents, CRCs, certificates, and other vault uploads are stored as encrypted files — not as open documents on disk.

Hashed passwords and PINs

Account passwords, vault PINs, and shared-tablet PINs are one-way hashed. We cannot read them back, and a database copy is not enough to log in as a user.

What we support today — and what we're building next

DailyDotKids is live for classroom work, compliance documents, and tuition reporting. A few licensing workflows are still on the way. We keep this list current so centres know what is ready versus planned.

Questions owners ask

Short answers before you email

How do I register my centre?

Fill the signup form on this page or on the register page. It emails us. We contact you. Licensed centres anywhere in Canada can apply.

Is this only for British Columbia?

No. The product is the same in every province and territory. Licensing rules are local — see the Compliance page for official government links.

Is the pilot free?

Yes — for a limited number of centres. There is no setup fee. If we later offer a paid plan, we will talk with you before anything is billed.

Do you take parent payments?

No. Parents pay you directly, usually by Interac. The apps track invoices, who marked payment sent, and whether you confirmed it.

What devices do we need?

Admin, Teacher, and Parent apps are on the App Store and Google Play. Teachers can also share one classroom tablet and switch with a PIN. Register your centre here first — downloading the app is not an account.

Does this make our centre licensed or compliant?

No. You remain responsible for your licence. DailyDotKids helps you keep records and reminders; it does not certify you.

Where is our data stored?

Centre records — the database, photos, and vault files — are hosted in Google Cloud in Montreal, Canada. Push notifications and invitation emails may travel through the services that deliver them to phones and inboxes.

How do teachers and parents get accounts?

After we set you up, you send invites from the Admin app. They join with a code. This website form is only for centre owners registering a pilot.
